Developing a consistent framework to link records to business activities

A records classification tool links the business activities of an agency to the records it creates. Classification of your business activities allows you to:

  • link records relating to the same activity or purpose
  • be consistent in titling records
  • develop a systematic framework for the creation, management (including storage and security protection) and disposal of records
  • enhance records retrieval
  • describe Australian Government online resources and services
For more information see Overview of Classification Tools for Records Management. For advice on developing a thesaurus, see Developing a Functions Thesaurus: Guidelines for Commonwealth Agencies.

If you are creating a thesaurus you may wish to use information from two thesauruses already available to Commonwealth agencies:

  • Australian Governments' Interactive Functions Thesaurus (AGIFT) is a classification tool that you can use to assist in resource discovery. It concentrates on higher level functional terms from across all government jurisdictions in Australia.
  • Keyword AAA is a thesaurus of general terms designed for use in classifying, titling and indexing most types of records in most technological environments. It covers terminology common to 17 administrative functions carried out by agencies.
