6. Order copies

If you can’t visit the reading room where the record is held, or you would like copies for reference, you can purchase a copy of a record – either  an online copy to view through RecordSearch, or a print copy that we will mail to you.

The easiest way to purchase a copy of a record is to select the ‘Request copy’ button on the item page in RecordSearch. If you order an online copy:

  • an image of each page of the record is made available for public viewing in our online collection database, RecordSearch, and
  • we will notify you by email (if you have provided an email address) when the online copy is available for viewing.

If you order a colour print copy:

  • a colour print copy of the record will be mailed to you in a presentation folder, and
  • at no additional cost, an online copy of the record will be made available for public viewing in our collection database, RecordSearch.

We have standard charges for the provision of copies, and there is no limit to the number of orders you can make. Fact Sheet 51 lists our current copying charges.

We will produce the best copies possible given the state of the original records. If you are not satisfied with the quality of your copy and we consider that it is possible to produce a better copy, we undertake to supply a replacement copy at no charge.

Photographic reproduction, microform copying and film and sound duplication are also available. Note that some reproduction services (eg photograph, film and large-scale plans) may take several weeks to process. Copying may not be permitted if there is a risk that this may damage the records. Certified copies of records for legal purposes can be provided upon request.
