How to register to use the collection

New registration procedures for researchers using National Archives reading rooms around Australia have been implemented from September 2009, increasing security for collection items and researchers.

Do I need to register as a researcher?

You must register as a researcher if you intend on visiting any National Archives reading room. If you are a registered researcher you will be able to order records for viewing in a reading room.

If you are not visiting a National Archives reading room, you do not have to register as a researcher to search or browse the collection online.

Can anyone register as a researcher?

Yes, anyone can register with the Archives and be issued a reader card, provided they can present proof of identity and agree to abide by the reading room rules.

How do I register and obtain a reader card?

You can register online through RecordSearch, and a reader card number and login name will be generated for you. You will be asked to set a password. Each time you log in to RecordSearch, you will need to enter your login name and password.

If you prefer, you can register as a researcher when you visit a reading room. A reference officer will be on hand to show you how.

As a registered researcher you can request the issue of records to the reading room where they are located.

When you visit a reading room

When you visit a reading room for the first time, you will need to bring identification with you so we can verify your identity. Acceptable forms of identification include either:

  • one (1) form of identification that shows your photo, full name, current address and signature – such as a driver’s licence

Please note: For researchers from overseas a valid passport will be considered an acceptable form of identification for this category.

OR

  • two (2) forms of identification: one must show your full name and current address and one must show your signature – such as passport, proof of age card, Medicare card, pension/seniors card, credit card, bank account statement, utility or telephone account

Once your identity has been verified, a reader card will be issued to you and you will be asked to sign the card. You will be required to present your reader card when visiting a reading room and each time original records are issued to you.

A reader card is valid for three years from the date of issue, and can be used in any National Archives reading room.

Why do I need to present proof of identity?

We ask to see proof of identity before issuing a reader card so we can track the issue of records to researchers in our reading rooms, and to ensure we have your current contact details.

Please note that we do not make copies of, or record the details of, the identification documentation you show us.
